EVENT HANDOVER

Before invitations

Name the person behind the contact.

Choose an organiser who can manage replies and decide which questions belong here. Agree a backup person through an authorised access arrangement, rather than sharing private sign-in material.

Put this into your plan

“This contact is for event questions. The organising group checks it during the times we publish.”

Keep the invitation
smaller than the task.

Guests need the purpose, reply window and an alternative for questions that do not belong here. They do not need the organiser’s internal account arrangements.

“Use this contact for arrival and access questions. We check messages during the published event hours. We will share the next contact point when the event closes.”
Neighbours plan a community project around a shared table

After the chairs are stacked.

Review any outstanding questions, update the group and decide what happens to the number or channel. Check provider cancellation and reassignment conditions before retiring a number that has been linked elsewhere.
